Subscriptions

The Subscriptions tab is where you review clients with recurring payments. Use it for monthly coaching, memberships, programs paid in instalments or any service that does not end with a single charge.

A subscription can come from Stripe or be manual. If it comes from Stripe, the client pays by card and Stripe attempts the following charges. If it is manual, the money comes in through Bizum, bank transfer, cash or another platform, and TrainerStudio only helps you record the status of each period.

Subscription with Stripe

To charge a subscription by card, create a product, add a recurring price and generate a payment link from Products -> View prices. The link can be for a specific client or generic.

When the client completes the first checkout, Stripe creates the subscription and TrainerStudio shows it as active. If a future charge fails, the subscription is flagged with an issue so you can contact the client or review the case in Stripe settings.

Manual subscription

Use Register manual subscription when the client pays on a recurring basis but the money does not go through Stripe. Choose the client, the product, the recurring price, the start date and the status of the first payment.

If they have already paid, mark the first payment as paid. If you are waiting for the Bizum payment or the bank transfer, leave it pending or unpaid as appropriate. Add a note if you need to keep a reference.

A manual subscription does not charge cards and does not create anything in Stripe. Its value is operational: seeing which clients have an active fee, which period is paid and what still needs checking.

When to use each option

If you want the card to be charged automatically every month, use Stripe. If the client pays you outside the platform but you want to keep track of the recurring fee, use a manual subscription.

Avoid recording every month as an isolated manual payment when it really is a recurring fee. With a manual subscription you keep the context of the recurring service and it is easier to spot which clients are still active.
