Manual payments

Use manual payments when the money does not go through Stripe. They cover Bizum, cash, bank transfer, free services, payments collected on another platform or standalone income that does not fit your catalog (a gift voucher, a one-off charge, a past payment).

A manual payment does not move money. If you mark a Bizum payment as paid, TrainerStudio only records that the client paid outside the platform. The money is still in Bizum, in your bank or wherever you received it.

To register a manual payment linked to a product you need a product and a billing plan already created in Business. You do not need to connect Stripe: the catalog can be created locally and used for manual payments. If you connect Stripe later, you can sync your existing products with one click from Business. To record standalone income, you do not need any product at all.

Register the transaction

Go to Business -> Transactions and press Register transaction. In the dialog you choose the type:

  • Catalog product: select the client, the product and the billing plan. It gives the client access if the payment is marked as paid.
  • Standalone entry: enter a free-text concept (for example, "10 in-person session pack"), an amount and a currency. It does not give access to any product. The client is optional.

Then set the collection method: cash, Bizum, bank transfer, free / no charge, external platform or other. Finally, adjust the date and time if the money came in at a different moment than now.

The status should reflect what is actually happening. If you have already received the money, mark it Paid. If the payment is in progress, mark it Pending. If it should have been paid and has not arrived, use Unpaid or Past due. If you are not going to charge for that service, use Not required.

Add a note when the payment comes from outside. A reference such as "Bizum received on 14/05" or "Bank transfer, waiting for receipt" avoids confusion when you review transactions later.

What a manual payment does not do

A manual payment does not charge cards, does not create a real subscription in Stripe and will not make automatic charges in the future.

If you want a card to be charged every month, sell the product with a recurring plan through Stripe.

If the client pays a recurring fee by Bizum, bank transfer or cash, use Subscriptions and register a manual subscription. That way you do not have to remember every month who has an active fee and which period still needs to be marked.
