Calendar and appointments
The Calendar brings every trainer's appointments together. Each trainer has a separate schedule and color, while you can view them together, filter them, or work only with your own.
On desktop, open Clients → Management → Calendar in the sidebar. On mobile, open More and enter the same section.
How this guide is organized
Start here
- View the schedule: switch between Month, Week, Day, Agenda, and Resources, navigate dates, and filter trainers.
- Create and manage appointments: add individual appointments or group classes, assign them, move them, or delete them.
Appointments
- Organize group classes: set capacity, add attendees, and manage the waitlist.
Team and resources
- Coordinate the team: understand which schedules and appointments each role can change.
- Manage spaces and resources: create rooms or equipment and assign them without overlaps.
The usual workflow
- If you share rooms or equipment, create them first under Manage spaces. Only team managers see this option.
- Select New appointment or choose an empty interval in the Month, Week, or Day view.
- Set the trainer, time, appointment type, and resources. For a group class, set capacity and attendees.
- Save. TrainerStudio blocks the operation if a resource is already in use in another schedule.
- Use the Team multi-select to review one or more schedules, or choose All to restore the complete view.
What an appointment represents
An appointment is an internal schedule block. It can contain a title, time, trainer, status, client reference, resources, and notes. Linking a client stores their current name and email for reference; it does not send an invitation or publish the appointment in the client app.
