WhatsApp Business for Personal Trainers: A Complete Setup Guide
Set up a professional profile, organize clients with labels, automate messages and see why you’ll eventually need more than WhatsApp to run your business.
In the UK, most of Europe, Latin America and many other markets, WhatsApp is where clients expect to reach you. In the US many clients still prefer text messages, but if yours use WhatsApp, the free Business app is worth setting up properly.
Most trainers use WhatsApp in its most basic form and miss features that could save them hours every week. This guide shows you how to set up WhatsApp Business step by step for a personal training business, from the profile to the automations, and where you’ll need to complement it with a professional tool. WhatsApp updates its features often, so check the current app for exact limits.
1. Why WhatsApp Business instead of regular WhatsApp
WhatsApp Business is a free app designed for small businesses. Compared with the personal version, it adds tools that make a real difference when you manage training clients.
| Feature | WhatsApp Business | |
|---|---|---|
| Business profile (address, hours, website, description) | No | Yes |
| Product and service catalog | No | Yes |
| Quick replies | No | Yes |
| Labels for chats and contacts | No | Yes |
| Automatic greeting and away messages | No | Yes |
| Short wa.me link with a prefilled message | Basic | Yes |
| Price | Free | Free (some marketing features are paid) |
Separate your personal and business numbers
You can run WhatsApp and WhatsApp Business on the same phone with different numbers. Many trainers keep their personal number private and use a second number (a second SIM or eSIM) for the business.
2. Set up a professional profile
Your profile is the first thing a prospect sees when you share your number. Getting it right signals professionalism.
- Photo: your face, ideally training or in your workspace, with clean light. Clients want to connect with a person, not a logo.
- Business name: your professional name or brand, such as “Jane Smith – Personal Trainer” or “Coach Mike | Online Training”. Avoid a bare “Personal Trainer” or a wall of emojis.
- Description: a short pitch of what you do and for whom: “Certified personal trainer. Custom in-person and online programs for fat loss and strength. Book a free assessment.”
- Address and hours: include your studio or gym if you have one, and the hours you answer messages. It sets expectations about when you’ll reply.
- Email and website: your professional email and your website or booking page.
3. A service catalog: your shop window inside WhatsApp
The catalog is one of the most underused features. It shows your services with a photo, description and price, so prospects can see what you offer without you explaining it every time.
1:1 in-person training
Duration, location and what a session includes. Indicative price: from $70–100 per session.
Monthly online coaching
Custom programming, weekly check-in, adjustments and chat support. Indicative price: from $150–250 per month.
Session packs
Packs of 8, 12 or 20 sessions with progressive discounts, good for retention. Indicative price: from $500 for 8 sessions.
Free assessment
A 30-minute first consultation, your best hook for new clients. Indicative price: Free.
Indicative US prices; adjust to your city and experience with the session price calculator. Use real photos of your sessions (with clients’ consent), not stock images.
4. Quick replies to save time
Quick replies are saved messages you send by typing “/” and a shortcut. Instead of typing the same answer again and again, it’s ready in a second. Six every trainer needs:
/price
“Hi! Thanks for reaching out. Here are my current options: in-person training from $X per session, online coaching from $X per month and an 8-session pack for $X. You can see the details in my catalog. Would you like to book a free assessment?”
/hours
“I train clients Monday to Friday from 6 a.m. to 8 p.m. and Saturday mornings. Which time works best for you?”
/location
“I train at [gym or studio] on [street]. I also coach online if you’d rather train at home or at your own gym. Which do you prefer?”
/welcome
“Hi! I’m [name], a personal trainer. Thanks for your message. To help you better, could you tell me a bit about yourself and your main goal?”
/checkin
“How did training go this week? 1) How were the sessions? 2) Any pain or discomfort? 3) How’s nutrition going? 4) Roughly how many hours did you sleep?”
/cancel
“I understand things come up. As a reminder, sessions cancelled with less than 24 hours’ notice can’t be refunded. Shall we find another slot this week?”
Base your cancellation reply on a written policy; our guide to cancellation policies for personal trainers has templates. Quick replies don’t personalize names automatically or schedule sends, so as your client list grows you’ll want something more powerful.
5. Labels: organize your clients
Labels classify chats and contacts by category, like colored folders. You can add several labels to a contact and filter chats by label.
| Label | For whom |
|---|---|
| Active client | Clients with a current plan |
| Lead | People who asked but haven’t signed up yet |
| In person / Online | How each client trains with you |
| Payment due | Clients with an overdue or upcoming payment |
| Former client | People who trained with you before, perfect for reactivation |
| Premium | Clients on your highest-value plan |
- Lead follow-up: filter by “Lead” every Friday and send a follow-up.
- Payments: filter by “Payment due” at the start of the month and send reminders.
- Segmented messages: send information only to online or only to in-person clients.
- Reactivation: reach out to former clients with news or a special offer.
The number of labels is limited, and once you want to segment by goal, level, plan and payment status, you run out quickly.
6. Automated messages: greeting and away
Greeting message
Sent automatically when someone messages you for the first time or after 14 days without messages. End it with a question to start the conversation:
“Hi, and welcome! I’m [name], a personal trainer specializing in [your niche]. I’ll reply personally as soon as I can. Meanwhile you can browse my services in the catalog. What’s your main goal right now?”
Away message
Sent outside your business hours or when you turn it on (vacation, a course). Match the schedule to the hours on your profile:
“Hi! I’m not available right now. I answer messages Monday to Friday from 8 a.m. to 8 p.m. and Saturday mornings, and I’ll get back to you as soon as I’m back. If it’s urgent, email me at [email].”
What WhatsApp can’t automate
The WhatsApp Business app can’t send date-based sequences (a five-day onboarding, for example) or trigger messages from a client’s actions. To deliver the program automatically every week or remind clients of a workout, you need a dedicated tool. See how to automate your personal training business.
7. Broadcast lists vs groups
Both let you message several clients at once, but they work very differently.
| Feature | Broadcast list | Group |
|---|---|---|
| Do recipients see each other? | No, each one gets an individual message | Yes, everyone sees all members |
| Are replies private? | Yes, only you see them | No, everyone sees every reply |
| Requirement | Recipients must have saved your number | You only need their number (and their consent) |
| Best for | Announcements, offers, tips, reminders | Communities, challenges, group classes |
- Use broadcasts for: offers, a weekly tip or video, schedule changes and reactivating former clients, all received as personal messages.
- Use groups for: 30-day challenges, coordinating group classes and a community where clients share wins and support each other.
Groups and privacy
Set clear rules from day one (no spam, respect, no unscientific health advice) and moderate. In a group, every member’s phone number is visible to the others, so ask before adding anyone. Send promotional broadcasts only to people who agreed to receive them, and if you coach clients in the EU or UK, remember that the GDPR applies to their data.
8. WhatsApp’s limits: why you need a professional app
WhatsApp is great for direct communication, but it wasn’t built to run a personal training business. As your client list grows, friction appears:
Programs get lost in the chat
You send a PDF; your client scrolls through dozens of messages to find it at the gym, loses it and asks again. A training app keeps the program always at hand, with exercise videos and logged weights.
No real progress tracking
Progress photos, body weight and screenshots all mixed in a chat. There’s no way to see a clear trend or compare data.
The personal and professional blur
Even on a separate number, messages at 11 p.m. asking to swap an exercise create a feeling of being always on, a fast track to burnout.
It doesn’t scale
With 5 clients WhatsApp works. With 15 you start losing things. Beyond that it’s unmanageable: you can’t duplicate a program, see who owes a check-in or manage payments.
No brand experience
Clients use the same app to talk to their mom and to you. A dedicated app with your brand feels completely different.
The ideal combination: WhatsApp plus TrainerStudio
The answer isn’t to stop using WhatsApp but to give each tool its job: WhatsApp for quick everyday contact, and a professional platform for programs, progress, check-ins and payments. TrainerStudio also has a built-in chat, so professional conversations can live next to each client’s program.
| Job | WhatsApp Business | TrainerStudio |
|---|---|---|
| Quick, everyday communication | Excellent | Good (built-in chat) |
| Programs | Only PDFs or text | Structured programs with exercise videos, sets and reps |
| Progress tracking | Loose photos in the chat | Workout logs, load history, metrics and progress photos |
| Check-ins | Manual messages | Scheduled check-in forms |
| Payments | Not built in | One-time and recurring payments with Stripe |
| App with your brand | No | Yes |
WhatsApp reminders from TrainerStudio
Many clients mute app notifications but still read WhatsApp. TrainerStudio can send automatic reminders over WhatsApp from TrainerStudio’s number: add a reminder item to a client’s plan or program with your message and send time. The client’s phone number must be saved in their profile and, because of Meta’s rules, the client has to message first before you can chat there. For ongoing conversations, use the in-app chat.

9. Set it all up in one afternoon
| Step | Task | Time |
|---|---|---|
| 1 | Install WhatsApp Business and move your account, or set it up on a second number | 10 min |
| 2 | Complete your profile: photo, name, description, hours, address, website, category | 15 min |
| 3 | Create a catalog with your three to five main services and real photos | 30 min |
| 4 | Set up the greeting and away messages | 10 min |
| 5 | Create six to eight quick replies (price, hours, location, welcome, check-in, cancellation) | 20 min |
| 6 | Create labels and tag your current contacts | 20 min |
| 7 | Create your first broadcast list (active clients) and send a test | 10 min |
| 8 | Generate your wa.me link and add it to your social profiles and website | 5 min |
About two hours in total, and your clients and prospects will notice the difference right away.
WhatsApp is the front door, not the office
WhatsApp Business is perfect for capturing leads, staying close to clients and answering quickly. Trying to run your whole business from it is like training 30 people with a single dumbbell: possible, but neither efficient nor professional. Use each tool for what it does best.
