How to read your personal trainer income

Revenue alone is not enough. A trainer making $8,000 per month with a 45-hour week has a very different business from a trainer making the same revenue with a 20-hour week and lower admin overhead.

Subscription coaching can scale better because the client pays for a full outcome, not just calendar time. Session-based coaching can still work well, but you need to price non-billable work into the model.

Use this calculator together with the session price calculator to set both your base rate and your full business target.

Personal trainer income FAQ

What does this income calculator include?

It estimates gross revenue, net income after expenses and taxes, effective hourly rate, revenue per client and the number of clients needed for your monthly goal.

Is online coaching more scalable than sessions?

Usually, yes. Subscription coaching separates income from one-to-one hours, but it still needs systems for programming, check-ins, messaging and retention.

Why is effective hourly rate important?

Because coaching includes non-billable work: programming, client messages, admin, sales, content and progress reviews. Your real rate is lower than your visible session price.

How does TrainerStudio improve the model?

TrainerStudio reduces admin time by centralizing clients, workouts, forms, progress tracking and communication in one coaching platform.
